When I first started handling commercial HVAC orders, I assumed the lowest equipment price was the best signal. I was wrong. Three callback jobs and one very angry facility director later, I learned a simple rule: the quote that shows every cost upfront is the only quote worth trusting.
I'm a commercial HVAC supply coordinator. In the last eight years, I've processed about 200 rush orders for contractors, facility managers, and maintenance teams. Most of those calls start with bad news: a tenant is sweating through a board meeting, a compressor died on a Friday, or a warehouse needs cooling before Monday. In almost every emergency, the first question is the same—what does it cost?
These days I ask a different question first: what's not included?
The problem with a bare-bones quote
A bare-bones quote looks low because it is low. But it's not the final price. For a small office retrofit, a Gree 12 000 BTU mini split might be listed at an attractive figure. That number usually covers the indoor unit, outdoor unit, and paperwork—nothing else.
By the time you add the line set, wall bracket, electrical disconnect, condensate pump, and the technician who actually leaks-tests and starts it, the total is different. I've seen this pattern so often that I don't trust quoted pricing until I see line items. It is not a Gree problem. It's a quote problem.

On larger jobs, the same story gets more expensive. A Gree air conditioner 36000 BTU is popular for light commercial spaces because it can push sensible cooling without consuming a whole chiller plant. But the 36,000 BTU number is based on AHRI Standard 210/240 test conditions—95°F outdoor, 80°F indoor dry bulb, 67°F indoor wet bulb. And that number doesn't tell you whether the compressor is inverter-driven or fixed-speed. That choice matters at part load, and part load is where commercial energy bills are won or lost. If a contractor can't tell you how the system handles your return air temperature, duct pressure, or low-ambient operation, you're not buying a capacity; you're buying a guess.
One more transparency check: in the U.S., SEER2 ratings have applied to new installations since January 1, 2023. If a quote lists a SEER number without saying whether it's SEER or SEER2, ask for the AHRI certificate. It's not paperwork for its own sake—it's the difference between projected energy cost and actual energy cost.
What a dirty air filter really does
Here's the part that gets pushed to the side in every quote: the air filter. It's not glamorous. But a dirty air filter on a Gree 12 000 BTU mini split creates the same symptoms as a serious refrigerant issue—weak airflow, coil freeze, short cycling, comfort complaints. I've walked into service calls where the only problem was a filter that had not been cleaned since installation.
So when you compare proposals, ask about filter access. Can your crew reach it without pulling a ceiling grid? Is it a washable mesh or a disposable media? Does the price include a spare filter? These details feel small until you're on a lift with a screwdriver and your fingers are going numb.
What is a dehumidifier? (And why your mini split is already one)
Before the internet makes this complicated: what is a dehumidifier? It's a machine that removes moisture from air. Most cooling systems do that as a side effect. A mini split dehumidifies while it cools, but that's only true when the coil is cold enough and airflow is right.
If a quote only lists BTU and not moisture removal, you're missing a comfort variable. In a humid climate, that matters more than the name on the outdoor unit. A properly matched Gree system with a decent air filter and condensate management will do the job; a system chosen on price alone will leave you with a cold, clammy room.
The bladeless fan test
Okay, this sounds like a weird place to bring up fans. But I use the bladeless fan question as a quick transparency test.
When a client asks about a bladeless fan for a lobby, I get it. It looks clean, moves air quietly, and doesn't have exposed blades. But a bladeless fan is not an HVAC system. It doesn't cool a space; it just makes the air feel cooler on your skin. The same confusion happens in proposals. A quote might group air movement and air conditioning together in a way that masks a real shortfall. If the contractor won't separate cooling, ventilation, and dehumidification, they're also probably not separating costs.
Line items force honesty. The fan is the clearest example I know.
What I learned from a Friday-night replacement
Last March, a facility manager called at 4:20 on a Friday. The tenant's Gree air conditioner 36000 BTU had stopped cooling, and the space was a medical office with patients scheduled Monday. Normal lead time for that replacement, from confirmed order to commissioning, is about ten working days. We had seventy hours.
We found the unit, arranged a truck, booked a crane, and paid $480 in expedited freight on top of the $5,300 base price. The unit was installed and running Sunday night. The facility manager avoided a serious lease issue. But that's not the part I remember.
What I remember is that the previous quote—or rather, the previous contractor's quote—had no mention of freight, rigging, disposal, or commissioning. The facility manager had been comparing apples to oranges the whole time. We didn't have a formal process for 'put every possible line item in the initial proposal.' After that month, we built one.
It took me eight years and about 200 rush orders to understand that a low equipment number is worthless if the total cost of ownership isn't clear. Actually, I shouldn't say worthless: it's useful for marketing, not for planning.
But won't an honest total scare clients away?
I hear this from colleagues all the time: 'If we put everything in the proposal, clients will say we're too expensive.' I disagree. In my experience, clients don't leave because the number is transparent. They leave because a surprise appears at the end. If a client says the number is above budget, that's a conversation. If a client says you added a fee they were never told about, that's a burned relationship.
Transparency is the quote
So here's my opinion, and I'm not softening it: the most transparent quote is the only price worth comparing. If you're looking at mini splits, ask for the full line set: equipment, line set, mounting, electrical, condensate pump, filter, startup, freight, tax. If a dealer lists everything—even when the total looks high—that dealer is probably the one who answers the phone after installation.
And if you're reading this because your system just failed, ask for all the costs before you sign. If the vendor hesitates, call the next one. There's always a next one.
